Narada vs Otter.ai — the local Mac recorder against the shared cloud archive
Otter is the meeting notetaker most people have heard of, and it is a genuinely better product for a team that works out of one shared transcript archive. Narada is for the person whose calls cannot go to somebody else’s servers.
- Otter’s free Basic plan allows “Up to 300 minutes per month” and “Up to 30 minutes per transcription”, and its Help Center adds that “Deleted conversations will still count towards the transcription limit.”
- Otter’s privacy policy lists as a purpose of processing “training our proprietary AI technology on de-identified audio recordings and on transcriptions (which may contain Personal Information)", with the legal basis “Consent or Legitimate interests.”
- Otter transcribes six languages — English, Spanish, French, German, Japanese and Chinese (Simplified) — with German and Chinese “currently still in beta”, and one language selected per recording. Russian and Ukrainian are not supported.
- Narada transcribes on the Mac itself with Parakeet TDT v3, covering 25 European languages; the model vendor’s own FLEURS word error rates for those languages run from 4.0% (Italian) to 36.9% (Greek).
- Otter costs $16.99/user/month, or $8.33/user/month billed annually, for Pro. Narada is $6.99/month or $69.99/year for cloud AI, and its recorder and on-device AI cost nothing (prices checked 4 August 2026).
Otter uploads your meeting to its servers, transcribes it there, and gives your team a shared archive they can search, share and administer. Narada records on your Mac, transcribes it on your Mac, and leaves the files in a folder you picked. If several people need the same transcript, Otter wins and it isn’t close. If the reason you are reading this is that your calls contain things you would rather not hand to a US cloud vendor whose privacy policy names model training as a purpose, keep reading.
Who each one is for
Otter is a platform. Web app, Mac and Windows desktop apps, iOS and Android, a Chrome extension, all synced. A bot that joins calls from your calendar, plus a botless desktop mode. Shared workspaces with seat counts, Channels, conversation sharing, admin controls, activity logs, SSO and SCIM at Enterprise, SOC 2 Type 2, HIPAA with a signed BAA. It is built for an organisation that wants meeting records to be an org asset.
Narada is a single-user macOS app with no accounts, no workspaces and no server holding your meetings. It taps your Mac’s audio output and your microphone as two separate tracks, transcribes them locally, and writes plain files. The feature list is narrower on purpose: recordings, summaries, a follow-up ledger, chat over your own archive, a read-only connector for Claude Desktop. No iOS app, no team view, no CRM integration, no live transcription.
The difference that actually matters
Everything else follows from where the audio is processed.
Otter’s own documentation is direct about it. Storage: “Otter uses AWS services for its data storage in the AWS region West, United States.” Connectivity: “Otter requires a stable internet connection to provide real-time transcription. We recommend a minimum uplink bandwidth of 512kbps.” Offline capture is documented for mobile only, and even then the transcript arrives after the upload — “Processing begins after reconnecting to the internet, and the file is successfully uploaded.”
Narada’s transcription runs through Core ML on the machine. That is a constraint more than a position: the transcription path has no network in it, so a flight and a locked-down network are both fine and there is no upload to wait for. It cuts both ways — no server means no sharing, no mobile app, no second device with your meetings on it.
Side by side
| Narada | Otter.ai | |
|---|---|---|
| Where audio is processed | On the Mac (Parakeet TDT v3 via Core ML) | Otter’s cloud — “AWS services for its data storage in the AWS region West, United States” |
| Works offline | Yes, including transcription | No for desktop; “requires a stable internet connection”, 512 kbps uplink recommended |
| Bot in the participant list | Never — it is an audio tap, nothing joins | Optional. Otter Notetaker joins Zoom/Meet/Teams from the calendar; the desktop app also records “without needing Notetaker to join” |
| Transcription languages | 25 European languages; vendor FLEURS WER 4.0% (Italian) to 36.9% (Greek) | Six: English, Spanish, French, German, Japanese, Chinese (Simplified). German and Chinese “currently still in beta” |
| Russian / Ukrainian | Yes (7.2% WER each on the model vendor’s benchmark) | Not supported |
| Speaker labels | Unnamed — Speaker 1, Speaker 2 — and only on the call’s audio. Your own lines are labelled because your mic is a separate file | Speaker Learning enrols voices to label speakers; disabling it for a workspace requires contacting an account manager |
| Free tier | Full recorder: calendar-aware recording, mic + system capture, on-device transcription, files, labels, storage controls. On-device AI summaries free on Apple Silicon | 300 minutes/month, 30 minutes per conversation, 25 most recent conversations, 3 lifetime imports, mp3/txt export, 1x playback |
| Paid price | $6.99/month or $69.99/year, 3-day trial (one tier, cloud AI only) | Pro $16.99/user/month or $8.33 annually; Business $30 or $19.99 annually; Enterprise “Schedule a demo” |
| Length cap per recording | None imposed; auto-record stops 60 minutes past the scheduled end | 30 min (Basic), 90 min (Pro), 4 hours (Business/Enterprise) |
| Training on your content | No corpus exists — nothing is uploaded | Privacy policy purpose: “training our proprietary AI technology on de-identified audio recordings and on transcriptions (which may contain Personal Information)" |
| Retention control | Your filesystem. In-app: keep audio forever / 6 mo / 1 yr / 2 yr, cache expiry, compression of older audio | Trash purges after 30 days; default retention open-ended; custom retention is Enterprise-only and set by “your Otter account manager” |
| Team features | None — no workspaces, channels, sharing links or cloud sync | Workspaces, Channels, sharing, admin controls, activity logs, usage analytics, SSO/SCIM (Enterprise, “minimum 100-user license required”) |
| AI assistant connector | Claude Desktop only, read-only, keyword (FTS5) search — not semantic | MCP server on every plan, with first-party Claude and ChatGPT connectors, OAuth-authenticated |
| Minimum OS | macOS 15.6 | macOS 12.3, or Windows 10 |

Where Otter is the better choice
If more than one person needs the transcript, buy Otter. Narada has no answer here at all: no workspace, no sharing, no permissions, no admin. A sales team where the manager reviews calls, a research group where three people annotate the same interview, a support org that needs activity logs and export permissions — those are Otter problems, and Otter has spent years building for them.
It’s also the better choice if you work across operating systems or devices. Otter runs on Mac, Windows, iOS, Android and the web, and settings sync between them. Narada is macOS 15.6 and later, and that’s the whole list.
Three more cases where Otter wins outright. If you need a bot to cover meetings you don’t attend, Otter Notetaker joins from your calendar; Narada can only record audio your own Mac is playing. If you need consent captured from each participant, Otter’s Teams flow via the Outlook extension routes attendees to a permissions page where “they must actively acknowledge and agree to being recorded” — Narada shows you a reminder and nothing more. And if you need a compliance paper trail, Otter has SOC 2 Type 2, GDPR and CCPA statements, a VPAT, a DPA with SCCs, and HIPAA under an Enterprise BAA. Narada claims no certifications, because it has none.
Otter’s assistant integration is also broader. Its MCP server is on every plan, with first-party OAuth connectors for both Claude and ChatGPT. Narada’s works with Claude Desktop only, is read-only, and its search tool is keyword matching over an FTS5 index — the tool’s own description tells the model that matching is “not semantic. So 'API' finds 'API' but not 'интерфейс'.”
Where Narada is the better choice
The clearest case is a solo professional whose calls are confidential by default: a consultant under NDA, a lawyer, a therapist, a founder taking investor calls, an internal auditor. For those readers the deciding facts are in Otter’s own documents rather than in ours. Otter’s privacy policy lists, as a purpose of processing, “training our proprietary AI technology on de-identified audio recordings and on transcriptions (which may contain Personal Information)", on the legal basis “Consent or Legitimate interests”. The same row names the recipient categories, which include “Data labeling service providers” and “Mobile advertising tracking providers”. Otter de-identifies first and says so — that is a real mitigation and we’re not pretending otherwise — but the only way to have no training corpus is to produce none.
The second case is language. If your meetings are in Ukrainian, Russian, Polish, Czech, Dutch or a dozen others, Otter cannot transcribe them; it “currently only supports English, Spanish, French, German, Japanese, and Chinese (Simplified)", and Portuguese is refused explicitly. It also commits to one language per recording — “Otter can only transcribe in one language at a time” — with French auto-switching to English as the single exception. Narada’s model covers 25 European languages. Accuracy across them is uneven and we’d rather you know the numbers than trust an average: the model vendor’s FLEURS results put Italian at 4.0% word error rate, Spanish at 4.5%, English (US) at 5.4%, Russian and Ukrainian at 7.2%, Polish at 8.6% — and Slovenian at 27.4%, Latvian at 27.1% and Greek at 36.9%. If your language is at the bad end of that list, test it before you commit.
Third: cost shape and free-tier usefulness. Otter’s free plan stops you at 30 minutes per conversation and 300 minutes a month, and the Help Center notes that “Deleted conversations will still count towards the transcription limit” and that once you’re over it “you will not be able to record or import recordings until your next monthly cycle.” Narada’s free tier is the whole recorder — calendar-aware recording, both audio streams, on-device transcription with speaker separation, labels, notes, storage management — with no minute counter anywhere in it. Summaries and the follow-up ledger need AI, and on an Apple Silicon Mac you can run those on-device for free too, after a one-time 3 GB or 7 GB model download.
Fourth, and less obvious: Narada tells you when a recording is damaged. It compares the frames submitted to the writer against the frames actually in the finished file, and badges the meeting “Incomplete” with a reason when they disagree. Recordings on real Macs do sometimes lose the microphone part-way, and a silent partial file is worse than a warning. It cannot recover the missing audio.
Privacy and where your audio goes
Both vendors' own words, because paraphrase is where comparison pages go wrong.
Otter. Storage and encryption: “Otter uses AWS services for its data storage in the AWS region West, United States. Otter uses AWS S3 storage and enables AWS SSE (Server Side Encryption) on data (S3 buckets)… Amazon S3 server-side encryption uses a 256-bit Advanced Encryption Standard (AES-256).” Training: the purpose row quoted above, plus the FAQ — “Otter uses a proprietary method to de-identify user data before training our models so that an individual user cannot be identified. This training method is automatic and as such audio recordings and transcripts are not manually reviewed by a human.” Third parties: “No customer data will be used to train or improve our AI Service Provider(s)' artificial intelligence models/algorithms.” Human access: “Before audio recordings are ever reviewed manually by a human (Otter personnel or its third parties), we require explicit consent from customers.” Consent for recording: “you are solely responsible for providing any notices to, and obtaining consent from, individuals in connection with any recordings as required under applicable law.”
Narada. Audio never leaves your Mac in any mode — recording, transcription and speaker separation are all local. Files are written unencrypted on purpose, so you can open them with anything; the folder is yours, and FileVault is the encryption story. In “Recorder only” and “On-device AI” modes nothing is sent for AI at all. In “Pro AI” and “OpenAI API key” modes, after an explicit consent sheet, the transcript text and your chat questions go to OpenAI — through our proxy in Pro AI, directly in BYOK mode — with a per-install device identifier for billing. Audio does not. Consent is revocable in Settings, and revoking it drops the app back to Recorder only.
Two honest gaps. Otter does not publish whether botless desktop recording is gated by plan; the desktop-app article names no plan requirement and the pricing table has no row for it, so we can’t tell you either way. And Otter’s published material shows US storage only — we found no EU residency option, which is not the same as knowing none exists under an Enterprise agreement.
Pricing, plainly
Otter: Basic is free forever. Pro is $16.99/user/month, or $8.33/user/month billed annually. Business is $30/user/month, or $19.99/user/month annually. Enterprise is “Schedule a demo” and not published. Students and teachers with a .edu address get 20% off Pro. Business monthly currently shows a first-time-subscriber promo at $24.
Narada: the recorder is free, permanently and without limits. On-device AI is free on an Apple Silicon Mac with enough RAM — 8 GB gets a 4B model, 16 GB gets a 12B one — and Intel Macs run the app but not on-device AI. Cloud AI (“Pro AI”) is $6.99/month or $69.99/year with a 3-day trial. One tier, no seats.
Both checked 4 August 2026.
How to try both
Run them on the same meeting. That is the only test that settles it.
- Install Otter’s desktop app and grant Microphone plus “Screen & audio recording” — Otter’s docs describe the latter as what “allows you to wear headphones during a meeting while transcribing meeting audio”. Record a real call inside the 30-minute free ceiling.
- Install Narada from the Mac App Store, point it at a folder, grant Microphone and System Audio Recording. It does not ask for Screen Recording, because it doesn’t capture pixels. Record the same kind of call.
- Compare the transcripts on the thing you actually care about — your language, cross-talk, names and jargon. Then compare where the files ended up.
Switching from Otter is mostly an export job: Basic exports mp3 and txt, paid plans add pdf, docx and srt. Narada has no importer, so old Otter conversations stay in Otter. Nothing stops you keeping both — Otter for meetings the team shares, Narada for the ones that stay yours. If you want the recording mechanics first, the guide to recording a Zoom call on a Mac covers why Apple’s own tools capture only your side. Questions people ask about this
Does Otter require a bot to join my meeting?
No. Otter ships both modes. Its Help Center says of the desktop app: “whenever you start a new recording, you can record audio from a meeting without needing Notetaker to join.” The bot (Otter Notetaker) auto-joins Zoom, Google Meet and Microsoft Teams from your calendar, and can be limited to “Meetings I manually select”.
Does Otter train its AI on my recordings?
Its privacy policy lists “training our proprietary AI technology on de-identified audio recordings and on transcriptions” as a purpose of processing, and its FAQ says Otter “uses a proprietary method to de-identify user data before training our models”. Separately, Otter states that its third-party AI providers do not train on customer data. No self-serve individual opt-out from Otter’s own training is documented on the pages we checked.
Can Otter transcribe Russian or Ukrainian?
No. Otter’s supported-languages article says it “currently only supports English, Spanish, French, German, Japanese, and Chinese (Simplified)". Narada’s on-device model covers 25 European languages including Russian and Ukrainian, both at 7.2% word error rate on the model vendor’s FLEURS benchmark.
Can I share a Narada transcript with my team the way I share an Otter conversation?
Not as a product feature. Narada has no shared workspaces, no channels, no sharing links and no cloud sync. It writes plain .m4a, .txt, .md and .json files into a folder you choose, so sharing means sending a file. Otter is the right tool if shared access matters.
